Survey prep is a byproduct or a project

Labs experience accreditation preparation in one of two ways. As a project: months of assembling schedules, logs, and policies into binders, with the quality of the result depending on who remembers what. Or as a byproduct: the daily workflow already produced the records, and preparation is reviewing and printing them.

The difference is not effort or diligence. It is whether the operational system records evidence as work happens, or whether evidence must be reconstructed from systems that were never designed to testify.

Know your window, and let it be sparse honestly

Most evidence is windowed: the last twelve months of volume, turnaround, and documentation practice. A young lab, or one that grew mid-year, has months with little activity. The defensible presentation states the window and the number of active months rather than presenting a dense year it did not have. Reviewers are not fooled by smoothing, and they remember it.

Open exceptions belong next to clean rates

A pack that reports a perfect completed-case safety rate while three devices sit overdue and two reads are unsigned is telling a partial truth. Presenting open operational exceptions alongside completed-case rates reads as a lab that knows its own state; hiding them reads as a lab that hopes the surveyor will not ask.

• Overdue device returns, with counts by device and order
• Completed studies whose reads lack a signer or report reference
• Unresolved documentation gaps in a managed queue with owners

Finalize, do not just print

A printout is a snapshot nobody can verify later. A finalized artifact records what was generated, when, from which data window, by whom, with a cryptographic digest, so the version handed to a surveyor in March is provably the version reviewed by the director in February. Corrections supersede rather than overwrite, which is itself a statement about how the lab treats records.
