Axiom OrderFlow / Terms
Terms of service
The terms that govern this website, the public demos, and paid use of the platform. A separate signed agreement governs a paying customer.
Read alongside the Privacy Policy and the Security overview. Questions to info@axiomeeg.com.
Four relationships. Four documents.
This page is the starting point. Which document controls depends on how you are using the platform today.
Where a signed agreement conflicts with anything on this page, the signed agreement controls.
- This websiteReading these pages, requesting an operations review, or requesting a pilot. Governed by the terms below.
- The public demosThe live demo workspace and the order-extraction demo. Provided for evaluation on synthetic or blank documents.
- A paid subscription or pilotGoverned by the signed order form or master services agreement between your organization and Axiom.
- Production use with patient informationGated behind security, contractual, implementation, and facility-approval requirements that must be completed first.
How buying works, in plain terms.
Billing is invoice-based. Nothing on this website charges a card, and no package can be purchased without a conversation first.
Subscription, implementation, and pilots
Three separate commitments. A dash means the row does not apply.
| Commercial item | Subscription | Implementation | Paid pilot |
|---|---|---|---|
| Shape | |||
| Term | Annual or monthly | One time | Fixed scope, fixed duration |
| How the price is set | Published package list price | Scoped in a proposal after an operational assessment | Published pilot fee |
| How it is collected | By invoice | By invoice | By invoice |
| Not offered | |||
| Payment processor | — | — | — |
| Self-service purchase path | — | — | — |
| Free trial or free tier | — | — | — |
| Conversion | |||
| Credits toward implementation | — | — | Yes, on conversion |
| Data environment | Contracted scope | Contracted scope | Synthetic or approved test data |
Pilots are paid, fixed-scope engagements with a defined start and end. They are not free trials. Final pricing depends on locations, order volume, interfaces, identity configuration, migration, training, and support scope. Published list pricing is on the commercial model page. →
Demo, pilot, and production carry different data rules.
The rule for demos and pilots is contractual and operational rather than technical. Please read the note before you upload anything.
- Demo workspaces and the order-extraction demo accept synthetic or blank documents only. The live demo runs a synthetic dataset in a disposable, read-only account, and the extraction demo processes your file in memory.
- Pilot workspaces accept synthetic or approved test data, under the scope written into the pilot agreement.
- Production use involving patient information requires completion of applicable security, contractual, implementation, and facility-approval requirements.
- We may rate-limit, suspend, or withdraw the public demos at any time.
Demo workspaces are for synthetic data only, and that restriction is contractual and operational rather than technical. A database constraint pins the patient-identifying mode off, but it governs the mode flag, not the contents of a field: this release does not technically prevent someone typing patient information into an order, so please do not enter or upload real PHI.
Do not send patient information in a demo request
Demo requests, pilot enquiries, and support email are ordinary business correspondence. Describe your volumes, study mix, and channels. Leave patients out of it.
What the service does, and what it does not.
These boundaries are part of the terms, not marketing language. A reviewer should be able to hold us to them.

Axiom OrderFlow is an EEG intake and operations workflow layer. It records what your department already does, so the work can be seen, coordinated, and defended under review.
Human-reviewed. Built specifically for EEG. Designed to complement your EHR and EEG acquisition system.
Nothing in the product is a substitute for facility policy, clinical oversight, or neurologist interpretation, and nothing in it constitutes medical advice.
What Axiom OrderFlow is not
Stated here so it is part of the agreement, not just the sales conversation.
- It does not replace the EHR.
- It does not acquire, display, or interpret EEG signals.
- It does not make autonomous clinical decisions.
- It coordinates operational work and evidence around EEG orders and studies.
Acceptance
These terms govern your use of the Axiom OrderFlow website, the public demos, and the service (together, the “Service”), provided by Axiom Neurophysiology (“Axiom,” “we”). By using the Service you agree to these terms. If you are using it on behalf of an organization, you represent that you are authorized to bind that organization.
Paid use of the product is governed by a separate written agreement (an order form or master services agreement) between your organization and Axiom. Where that agreement conflicts with these terms, that agreement controls.
The public demos
The live demo and the try-it-with-your-own-order-form extraction demo are provided for evaluation only, on synthetic or blank documents. You agree not to upload real patient information or other confidential data to the demos.
The live demo runs on a synthetic dataset in a disposable, read-only account. The extraction demo processes your file in memory and stores nothing. We may rate-limit, suspend, or withdraw the demos at any time.
Commercial terms
Packages are sold as an annual or monthly subscription, invoiced directly, plus a one-time implementation that is scoped in a proposal after an operational assessment. Billing is invoice-based. There is no payment processor and no self-service purchase path.
Pilots are paid, fixed-scope engagements with a defined start and a defined end. They are not free trials. Pilot fees credit toward implementation if the pilot converts to a subscription.
Final pricing depends on locations, order volume, interfaces, identity configuration, migration, training, and support scope. Invoicing terms, renewal, and cancellation for a paying customer are set in that customer's agreement.
Acceptable use
You agree not to:
- Upload real Protected Health Information to any workspace not authorized for PHI, or to the public demos.
- Attempt to access another organization's data, probe or bypass access controls, or disrupt the Service.
- Reverse engineer, scrape, or resell the Service except as permitted by law or your agreement.
- Use the Service to violate any law or the rights of others.
Accounts and security
You are responsible for activity under your account and for keeping your credentials secure. Two-step verification is available and recommended. Administrators are responsible for managing membership and roles within their organization.
Customer data and PHI
As between you and Axiom, your organization owns the data in its workspace. We process it as described in our Privacy Policy and your agreement.
Real patient information is handled only after the applicable Business Associate Agreements are signed and the patient-identifying mode is unlocked for your workspace, alongside production security hardening, compliance review, and facility approvals. Ask us where that pathway stands before any production use.
Interfaces
Axiom supports governed HL7 v2 and FHIR R4 interface workflows through a hospital's interface engine. Each production connection is separately scoped, tested, and accepted with the customer's interface team.
Interface work is contracted separately from the subscription and is not an assumed part of any package. Document upload, email, and configured fax intake are available without an interface project.
Availability and disclaimers
We work to keep the Service reliable, but the website and public demos are provided “as is,” without warranties of any kind to the extent permitted by law. Service levels for a paying customer, if any, are set in that customer's agreement.
Axiom is not a substitute for clinical judgment. The product supports operational workflow and does not provide medical advice.
Limitation of liability
To the extent permitted by law, Axiom is not liable for indirect, incidental, or consequential damages arising from use of the website or public demos. Liability for the paid Service is governed by the limitations in your agreement.
Changes and contact
We may update these terms as the Service changes. The date above reflects the current version. Questions can go to info@axiomeeg.com.
This document is a prototype
These are plain-English starting terms, published while the product is in controlled pilots, and they are pending review by counsel. They are not a substitute for the signed order form or master services agreement that governs a paying customer. Where the two conflict, the signed agreement controls.
Read it, then bring us the hard questions.
We would rather answer a procurement, security, or interface question early than surprise you in a redline.
